This Privacy Policy explains how we collect, use, disclose and safeguard your personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our website, booking or purchasing our coaching Services, you agree to this Policy.
Important: Our coaching Services are not clinical therapy and are separate from Intuitive Connection Counselling. If you engage our counselling services, that practice has a different privacy policy.
1. What personal information we collect
The information we collect depends on how you interact with us. It may include:
- Identity details: name, pronouns, age/18+ confirmation.
- Contact details: email, phone, suburb/state, country, preferred contact method.
- Booking & purchase data: session preferences, time zone, calendar availability, billing address, transaction history (no full card numbers).
- Communications: emails, DMs, Voxer messages, feedback, testimonials.
- Program data: intake forms, questionnaires, goals, homework completion, progress notes for coaching.
- Technical data: IP address, device/browser, cookies, analytics, referral source, pages viewed, session duration.
- Marketing preferences: sign‑ups, opt‑in status, unsubscribes.
- Media & UGC: workshop photos/video (where you’ve consented or can opt‑out), survey responses.
We avoid collecting sensitive information (e.g., health, sexual orientation, religious beliefs) for coaching. If such information is provided voluntarily (e.g., to tailor support), we handle it securely and only for the stated purpose.
2. How we collect information
- Directly from you: when you browse, enquire, book, pay, complete forms, message us, or participate in programs.
- Automatically: via cookies and analytics when you use our website.
- Third‑party sources: where you connect with or use third‑party tools we use for scheduling, payments, messaging, analytics, or automations.
3. Purposes of use (APP 6)
We use your information to:
- Provide and personalise coaching Services;
- Process bookings, payments, and client support;
- Communicate with you (service messages, reminders, updates);
- Deliver Voxer/DM support within agreed access windows;
- Issue resources (workbooks, guides, replays) you’ve purchased;
- Operate, protect and improve our website and systems;
- Run analytics, measure performance, and improve content;
- Send marketing only where permitted and with your choice to opt out;
- Comply with laws and manage disputes.
4. Cookies & analytics
We use cookies and similar technologies to operate the site and understand usage. We may use Google Analytics, Meta Pixel, and similar tools. You can control cookies via your browser and ad‑preferences settings. Disabling some cookies may affect site features.
5. Payment, scheduling, communications & automations
To deliver Services, we use reputable third‑party processors and platforms such as:
- Payments/checkout: Stripe, ThriveCart.
- Scheduling & forms: Calendly, Typeform (or similar).
- Messaging & automation: Voxer, ManyChat, Make (Integromat).
- Email & CRM: MailerLite (or similar).
- File/storage & productivity: Google Drive, Notion.
These providers collect and process some of your information under their own privacy terms. We only share what is necessary to perform the related function.
6. AI tools (transparency)
We may use AI‑assisted tools for drafting, organising notes, creating resources and improving client experience. We minimise personal data shared and de‑identify where possible. If you prefer we do not use AI in relation to your 1:1 coaching notes, email us before your first session. This may limit certain features or require manual processes.
7. Direct marketing (APP 7)
We may send you updates, resources and promotions if you have opted in or if permitted by law. You can unsubscribe at any time via the email footer or by contacting us.
8. Disclosure to third parties & overseas recipients (APP 8)
We may disclose information to:
- service providers and contractors who help deliver the Services;
- professional advisors (legal/accounting) under confidentiality;
- law enforcement or regulators where required.
Some providers store data in other countries (e.g., US/EU). Where we disclose overseas, we take reasonable steps to ensure those recipients protect your information in line with the APPs or comparable safeguards.
9. Data retention
We keep personal information only for as long as needed to provide Services, meet legal/financial record‑keeping duties, resolve disputes, and enforce agreements. When no longer required, we take reasonable steps to de‑identify or securely destroy it.
10. Security (APP 11)
We use reasonable administrative, technical and physical safeguards (e.g., access controls, password policies, encryption in transit where supported by providers). No method is 100% secure; we cannot guarantee absolute security.
11. Access & correction (APPs 12–13)
You can request access to your personal information or ask for corrections if it’s inaccurate, incomplete or out‑of‑date. Contact us at contact@ayeshanhem.com We’ll respond within a reasonable time and may require identity verification. If we refuse a request, we’ll tell you why (where lawful) and how to complain.
12. Data breaches (Notifiable Data Breaches scheme)
If a data breach is likely to cause serious harm, we will assess and, where required by law, notify affected individuals and the Office of the Australian Information Commissioner (OAIC).

Our website may contain links to external sites we don’t operate. We’re not responsible for their content or privacy practices.
